You've got a quarter million dollar digital sign and a network of people to sell to. What you don't yet have is a single place to keep track of who you're talking to, where each conversation sits, what's running on the board this week, who's supplied artwork, and who hasn't paid yet.

That's what this build solves. One place. Built in Notion. Simple enough for Aimee to use without a manual.

What's already out there

Out of home advertising has its own software ecosystem. The serious operators use platforms like Apparatix, BillboardPlanet, Quattro, and SignDash. They handle proposals, lease management, vinyl tracking, programmatic ad sales, and inventory mapping across hundreds of faces.

They also cost serious money, are built for the US market, and assume you're managing a fleet, not a single board.

For one digital sign with a strong personal sales motion, those tools are like buying a 40 tonne truck to do the school run. You don't need inventory mapping across thousands of locations. You need to know who you've spoken to, what they've booked, what's airing this week, what artwork still needs designing, and who hasn't paid yet.

Website enquiry form, straight into Notion

Someone fills in a form on your website. It lands in Notion as a new contact, tagged as a fresh lead, with the date and source already populated. No manual entry. No copying out of email. No leads slipping through the cracks because they got buried.

We use a simple form tool (Tally or similar) connected via Zapier. Connection cost sits in the low double digits per month — paid by you, not us.

Contacts database

The people side of the business. Every prospect, every active client, every past client. For each contact: name, business, phone, email, source, pipeline stage, notes, linked campaigns. Who's hot, who's gone cold, who's overdue for a follow up — at a glance.

Campaigns database — one record, four views

This is the core. Every booking is one row. Each row knows who the client is, what package they bought, when it runs, what the artwork situation is, and what they're paying. The same data shows up four different ways depending on the question you're asking.

Packages reference

A small database that defines your packages. Bronze (2 plays per hour), Silver (4 plays per hour), Gold (8 plays per hour), or whatever structure makes sense once you've talked to early buyers. Dwell time, plays per hour, weekly rate, fortnightly rate, monthly rate.

Every Campaign links to a Package, so when you change pricing or add a new tier, it flows through cleanly. No spreadsheets, no copy paste errors.

Graphic design — the natural extension

Half your bookings will need artwork designed. Some clients will hand you a finished file. Others will hand you a logo and a vague idea.

Yoonet has a graphic design team in the Philippines who can handle that work end to end — design from brief, revisions, final supply ready files. Charged per job, not retained, so you only pay when there's work on.

This isn't part of the build cost in this proposal. It's an option you can switch on the moment your first client says "can you sort the design too?" — and most of them will.

The bigger picture

This isn't really a CRM build. It's the front door to outsourcing.

Notion is the most AI ready platform on the market. Once your operations live in there, the next steps open up naturally: a virtual assistant who chases leads in your pipeline, an admin who handles invoicing off the same data, a designer who pulls briefs straight out of Artwork Production. None of that requires a different system. It's already where it needs to be.

Wherever the business goes from here, Aimee should be in the garden and the kitchen, not buried in admin. This sets that up from day one.

This is the turducken of CRM solutions. It may be overkill — but I know the level of investment you're making, and how painful it is to move later if it's not done right.
